This page documents how NaluFleet obtains consent to send email, what kinds
of messages we send, and how recipients can opt out at any time. We do not run
cold-outreach campaigns, do not buy or scrape contact lists, and do not send
marketing emails to anyone who has not actively signed up for our service.
1. How recipients opt in
Recipients only receive email after one of the following actions:

Creating an account — the user picks a plan at
/plans,
fills the registration form at
/register,
and explicitly accepts the
Terms of Service
and
Privacy Policy
during the final verification step
(/register/complete).

Submitting our contact form at
/contact
or public support form at
/support-public
— replies are sent only to the address the user typed in.

Initiating a password reset at
/forgot-password.

Being added as a team member by an existing customer (the inviting customer
represents that they have permission to invite that recipient — invitees can
unsubscribe at any time, see below).
2. What we send
All outbound mail is one of:
- Transactional — email verification codes, password resets, billing receipts, subscription renewal/expiry notices, and similar account-tied messages.
- Product alerts the user enabled — vehicle / driver / maintenance / trip notifications, controlled by per-user preferences inside the app.
- Direct replies to inbound contact-form or support inquiries.
We do not send promotional newsletters, mass marketing campaigns, or unsolicited cold outreach.
3. Verifying consent
- Every account is created via the public sign-up flow above, which records the user's IP and timestamp at the moment they accept the Terms.
- Email addresses are verified via a one-time code before the account is activated.
- If a recipient reports they did not sign up, we suspend the account and remove the address from our system.
4. Unsubscribe & suppression
- Every email includes a CAN-SPAM-compliant footer with a one-click unsubscribe link.
- Every email includes RFC 8058
List-Unsubscribe and List-Unsubscribe-Post headers, which Gmail / Yahoo / Outlook honor as one-click unsubscribe.
- Unsubscribe requests are processed immediately and the address is added to a permanent suppression list.
- In-app notification preferences let signed-in users granularly disable categories of email at any time.
5. Authentication & deliverability
- We publish SPF, DKIM, and DMARC records on the sending domain.
- We use a reputable transactional email service provider for delivery.
- We monitor bounces and complaints; hard bounces and spam complaints are auto-suppressed.
SMS Messaging Practices
NaluFleet sends SMS messages only to phone numbers that have been
voluntarily provided by the recipient through our public sign-up form
(/auth/register),
with an explicit consent checkbox that must be ticked before submission.
We do not send marketing SMS, do not buy or rent phone lists, and never
message a number that we have not been given directly by its owner.
Use cases
- Account verification (2FA): one-time codes during sign-up and login.
- Account security: password-reset codes and unusual-activity alerts.
- Operational alerts the user enabled in-app: e.g. driver / vehicle / maintenance notifications.
Sample messages
- NaluFleet: Your verification code is 482915. Expires in 10 minutes. Reply STOP to opt out.
- NaluFleet: Your password was reset. If this wasn't you, contact support immediately. Reply STOP to opt out.
- NaluFleet: Maintenance due on Truck 102 (oil change, +500 mi over). Reply STOP to opt out.
Frequency, rates, and help
- Message frequency varies — typically a few messages per month, driven by the user's own actions and notification preferences.
- Message and data rates may apply.
- Reply STOP to any message to immediately opt out (no further SMS will be sent to that number).
- Reply HELP to receive help information, or contact us via the
contact form.
Consent capture
When a user submits their phone number on
/auth/register
with the SMS consent checkbox ticked, we record the timestamp and the
originating IP address against their account. The consent record is
available for audit. If the phone field is left blank, no SMS is ever sent.
Carrier disclosures
SMS is delivered through Twilio. By opting in, you agree to receive the
messages described above from NaluFleet. See our
Privacy Policy

We do not share or sell phone numbers with third parties for their
marketing purposes.
